4.3 Module 2 - Planet Rent compliance
Planet Rent provides 24/7 access to check up compliance which split
into 5 sections. ‘Property Compliance’ (the most important) is the
dashboard/home page so it cannot be overlooked. You can see if
your Agent/Operator is up to date and can click through to inspect
documents.
4.3.1 Compliance Menu 1 - Property compliance
Uploading critical documents: As Operator Ringley would work with
your main contractor in the mobilisiation phase to obtain PDF’s of
critical documents for upload such as:
gas safe certificates,
electrical certificates,
EPC certificates.
Our in-house IT Team can reference, map and upload multiple
documents to populate Planet Rent for you.
Energy Performance Certificates (EPCs): There are four aspects
to EPC compliance:
1. is a valid EPC certificate in place?
2. has it expired?
3. is the property rated E or above?
4. has the EPC been disclosed to the prospects at the right time?
The dashboard resolves issues 1 and 2 by showing any EPCs missing or expiring (the warning lead time is

2 months). For issue 3 to comply the proposed regulations are expected to come into force 1 April
2018 and will make it unlawful let or renew a tenancy on a property where the EPC is not rated E or
above (unless there is an applicable exemption). When uploading EPCs the rating is captured so that
during the OFFER stage if the rating is not E or above a warning message reminds the user that “letting
the property with an EPC grade F or G could result in a civil penalty fine of up to £4,000”.

Note: The legislation will apply retrospectively to existing tenancies effective 1 April 2020 and separate
regulations which came into force 1st April 2016 enable existing tenants occupying properties under the Rent
Act 1977 or Rent (Agricultural) Act 1976 to make a request for energy improvements.
For issue 4 - The Energy Performance of Buildings (England and Wales) Regulations 2012: Part 2 –
Section 6 (2), requires that the EPC is made available free of charge, a valid energy performance
certificate to any prospective tenant,
(a) at the earliest opportunity; and
(b) no later than whichever is the earlier of
(i) the time when information about the dwelling is first made available; or
(ii) at the time when such person views the building.
