9.8 Arrears management in detail
9.8.1 Arrears prevention: Ringley is a direct debit originator and as Planet Rent enables rent collection from
each tenant the risk of rent direct debits bouncing is reduced (usually not all tenants fail to pay and
shortfalls can be re-collected from other tenants who are jointly and severally liable). This is stronger
than Agents who require tenants to set up a joint account for them to debit, or rely on standing orders
as the risk of payment failures is reduced.
Being a direct debit originator also eliminates the problem of small rent arrears e.g., where the rent
rises at renewal, as we are able to increase direct debit payments. Ringley follow best practice and
have a financial hardship policy which can be distributed and includes the Citizens Advice Bureau’s debt
advice guidance. In addition Ringley operate credit card payments for:
deposits and initial rent via Planet Rent, and,
for facilities or add-on’s via the Busy Living App,
for arrears as a choice where a direct debit bounces.
9.8.2 Arrears anticipation: Ringley have developed a range of risk reports which include:
payment performance report
aged arrears reporting
Our ‘payment performance’ report identifies tenants at risk of rent arrears due to late payments. This
enables us to trigger staff to be sensitive and aware to those that need help. This approach can include
finding out when they get paid to align direct debits to this date, to make agreements to split any catch
up rent payments over a period, to consider moving to a smaller cheaper unit (if possible), or to
signpost the tenant to benefits.
For guarantors our process includes checking that they are a home owner and checking the Land
Registry title number for their property in case of needing to get a money judgement against the
guarantor, and, to seeking to register a charge against their property.
